Normally ask in October have a cut of date to get the info to you (usually end of October beginning of November), that gives you a week to get the info sorted and sent back to everyone. Then set a date to have the present sent by.

It involves getting all the PM's and writing the info into what ever you want to use (I used a spreadsheet). After you have them all collated using a random picker to get give each person a match. then PMing everyone their match. Once they start arriving tick them off so you know who has sent their present.
